Request for quotation for catering services for 500 guests at an inaugural council meeting in Cradock on 24 November 2026. The menu includes two meat, two starch and two vegetable options, plus drinks and bottled water. Local and B-BBEE-owned firms can earn preference points.
Inxuba Yethemba Local Municipality is inviting registered service providers to submit quotations for the provision of catering for 500 people at the inaugural council meeting. The event will take place on 24 November 2026 in Ward 2 of Cradock, Eastern Cape. The request is issued as a Request for Quotation (RFQ) under the municipality's Supply Chain Management policy, with quotations closing on 9 November 2026 at 12:00. The advertised value is for 500 covers and is subject to VAT at 15%.
The required menu comprises two meat options (beef and chicken), two starch options, two vegetable options, and drinks in 330ml containers together with still water in 500ml bottles. Bidders must hold a valid Certificate of Acceptability for food premises, and the quotation must be accompanied by all relevant information. Late or incomplete quotations will not be considered. Quotations must be signed or stamped with the company stamp, and must be valid for 60 days from the closing date. Submissions must include certified copies of the identity documents of the company directors, a municipal utility bill or lease agreement reflecting the account status, the MBD 4 and MBD 9 municipal declarations, a valid Central Supplier Database (CSD) report, and either a SARS PIN or a tax compliance certificate. Bidders must also complete a Declaration of Interest form, obtainable from the Supply Chain Office. SBD forms will not be accepted, and bidders who submit them will be disqualified.
Evaluation follows the 80/20 preferential point system, with 20 points allocated to locality (up to 10 points, favouring enterprises within Inxuba Yethemba, then Chris Hani District, the Eastern Cape, and South Africa) and B-BBEE ownership (10 points for 100% Black-owned firms). Points for locality require a municipal account, and points for B-BBEE require a B-BBEE status certificate or sworn affidavit. Failure to attach these documents results in loss of preference points. Sealed quotations, clearly marked with quotation number IYM01/11/2026Q and the project title, must be placed in the bid box at the Registry Office, 1 JA Calata Street, Cradock, 5880, before 12:00 on 9 November 2026. Email submissions are not accepted. Payment will be made within 30 days after delivery. The municipality reserves the right to award the quotation in full or in part, and not to accept the lowest or any quotation. Enquiries about the specification may be directed to the Project Manager, Ms N Vabaza, on 048 801 5043 or to mm@iym.gov.za. SCM enquiries may be directed to Tandolwetu Petelo on (048) 801 5159 or tpetelo@iym.gov.za.
