Office Furniture Supply and Delivery

Mkhondo Local Municipality, based in eMkhondo (Mpumalanga), has invited bids for the supply and delivery of office furniture under tender MKHO20/2026/27. The municipality needs furniture for its offices so that staff can carry out their daily duties and deliver services to the Mkhondo community. This is a once-off delivery contract. The successful bidder must sign a Service Level Agreement and deliver only the items specified in the Bill of Quantities, which are fixed and will be paid for only as delivered and certified.

The Bill of Quantities covers 140 units across eight line items: 15 executive high-back office chairs with PU leather upholstery, 57 sleigh-base visitor chairs, 62 heavy-duty high-back chairs with real leather upholstery and a 200 kg weight limit, two three-seater couches, one one-seater couch, one wooden coffee table, one 8-way cubicle workstation desk (1400 mm x 750 mm), and one wooden 2-way shared workstation desk with six drawers. Successful bidders must deliver to the municipal Finance Building (Asset and Logistics Office) at 33 Corner Market and De Wet Street, eMkhondo, and assemble the furniture on site. Municipal officials will verify the assembly. The supplier must provide its own insurance and transport, obtain a signed delivery note, and bear the cost of returning any damaged or defective goods. Payment is due within 30 days of a valid invoice. The specifications state a minimum one-year warranty with repair and technical support, although several line items quote a five-year warranty. Bidders should confirm the warranty terms with the contact persons before bidding.

Bidders must meet strict compliance requirements. Compulsory documents include a valid SARS Tax Compliance PIN, a full (not summary) CSD registration report dated within 30 days of the closing date, a company registration certificate, certified copies of directors' IDs, a municipal rates statement or lease agreement, and all Municipal Bidding Declaration (MBD) forms. Bids are evaluated in three stages: compliance, functionality, and price with preference points. Functionality is scored out of 80 points, and bidders must score at least 48 points (60%) to proceed. Scoring considers company experience (purchase orders of at least R50,000 from previous government clients, 40 points), a bank rating certificate (30 points), and reference letters from clients (10 points). Price and specific goals are then scored on an 80/20 system, with up to 20 points for B-BBEE status, ownership by black people, women, youth or persons with disabilities, and location within the Mkhondo municipal area. Bids must be submitted as sealed, clearly marked hard copies in the bid box, on the municipality's official forms, using black permanent ink. Online, emailed, faxed and late bids are not accepted, and bids are not opened in public. Clarification questions should be sent at least five working days before the closing time, to the contacts listed in the tender document.
