Sit-down catering for 350 guests (standard and Halaal three-course meals) and event décor for the Cape Winelands Sport Awards, held at Paarl Town Hall on 15 December 2026. Bidders must hold a valid Certificate of Acceptability and a Municipal Health Services inspection report.
The Cape Winelands District Municipality (CWDM), in partnership with the Cape Winelands Sport Council, invites formal written price quotations from suitably qualified service providers to provide sit-down catering and event décor for the annual Cape Winelands Sport Awards. The event recognises outstanding sporting achievements across the district and will take place at the Paarl Town Hall on 15 December 2026 at 18:00. The successful bidder will be responsible for serving approximately 350 guests seated at tables of ten, comprising 300 standard meals and 50 Halaal meals. Each meal is a three-course service: a warm butternut soup starter, a plated main course of 300g sirloin steak and chicken thigh with savoury rice, roasted baby potatoes, pumpkin and creamed spinach, and a pastry-crusted milk tart dessert. Beverages include 100% fruit juice, bottled water, and wine glasses for red and white wine.
The décor scope covers a black, white and gold theme, including draping, black tablecloths and serviettes, black chair covers, gold runners, gold underplates, serviette rings and golden cutlery, centrepieces with white fresh flowers and candles, a red carpet entrance, a flower and balloon arch, and floral and plant arrangements in the reception area. Two additional tables are required for pre-drinks. Chairs and tables are available at the venue. Bidders must be available by phone throughout the event day. Compliance requirements are strict: bidders must submit a valid Certificate of Acceptability for their food premises (and transport certification where applicable) with their bid, or the bid will be disqualified. A Municipal Health Services inspection report must also be provided, either with the bid or by a mutually agreed date before the event. Bidders offering Halaal catering must hold a valid Halaal Endorsement Certificate from the Muslim Judicial Council or an equivalent recognised body. Pricing must be market-related, complete on the prescribed pricing schedule, and inclusive of labour, transport, consumables and VAT. Payment is made within 30 days of invoice, with no upfront payments. The contract will be awarded to a single service provider under the 80/20 preference point system, with points allocated for B-BBEE status and locality within the Cape Winelands District or Western Cape.
Licensed catering companies with a valid Certificate of Acceptability, experience in large-scale sit-down event catering, and the ability to provide Halaal-certified meals. Event décor and styling companies may apply, though the tender is awarded to a single service provider, so bidders with both catering and décor capability are best placed to compete. Businesses based in the Cape Winelands District or Western Cape will earn locality preference points, and B-BBEE-compliant enterprises will receive additional points. Small and medium enterprises with the required certifications and capacity are encouraged to apply.
